Cancellations + Trip Changes
Cancellation Policies
In the event that a participant is required to cancel their booking, the participant must give written notice to Kojo Collective.
The cancellation policies outlined below take into consideration the costs Kojo Collective incurs long before travelers depart. Trip price is defined as everything purchased from Kojo as part of your tour, including upgrades, pre- and post-tour arrangements, and Single Supplements.
The traveler understands that some destinations pose more of a risk than other destinations due to weather conditions, socio-political situations and the geography of the region. The traveler acknowledges that factors such as, but not limited to, weather conditions, landslides, floods, flight cancellations or delays, strikes, labour issues, power failures, restrictive governmental laws or regulations (re: Visitor Visas), war or other (hereinafter called “Force Majeure Event”) are not the fault of Kojo Collective and may hinder, delay or even prevent the traveler’s ability to make or complete the trip.
The traveler acknowledges that Kojo Collective shall not be liable to the traveler for any delay or cancellation of the trip due to a Force Majeure Event. The traveler is neither entitled to a refund nor any other payment for damages from Kojo Collective in the event that the trip is canceled or delayed due to a Force Majeure Event. Please note that we are not responsible for any airfare ticket expenses.
Booking
We request half the tour fee to be paid no later than 60 days before the departure date including any single supplement fee and any hotel fee for extra nights. (You are also welcome to pay the full fee if you wish). The remainder of the tour fee must be paid no later than 46 days before the departure date of the tour.

Cancellation Fee (per person)
Travel Credits
All Travel Credits are non-transferable and non-refundable. Travel Credits cannot be used towards payment of a deposit. Travel Credits must be used within 4 calendar years of the original departure date. Once a Travel Credit has been applied to a trip, it is considered non-refundable.
Changes for Scheduled Departures Initiated by Guest
Requests to change the tour or date of an existing reservation will be accommodated based on availability. If this request is made inside of 90 days prior to departure, a minimum $250 charge or, of more than 5 people, $50 per person late change fee will be applied. The guest is responsible for any additional cancellation fees incurred from hotels, etc. Additionally, the guest must pay any increase in tour price.
Changes for Private Tours Initiated by Guest
Requested changes to an existing private tour reservation will be handled on a case-by-case basis. When we are able to accommodate changes, a minimum $250 change fee per group will be applied. This fee is subject to increase with the magnitude of changes requested. The guest is responsible for any additional cancellation fees incurred from hotels, transportation, guide, etc. Additionally, the guests must pay any increase in tour price caused by the change.
KOJO Collective Itinerary Changes + Cancellations
KOJO Collective reserves the right to make date, route, activity, and hotel modifications to any tour. This includes the details of itineraries as they appear on Kojocollective.com. Every effort is made to keep changes to a minimum.
Kojo Collective retains the right to cancel, modify, or delay any tour at any time for any reason. In the event of a force majeure (“Force Majeure”), which shall include, but not be limited to, an act of God, natural disaster, epidemic, pandemic, government-issued travel restriction or advisory impacting any portion of the tour, or any other reason beyond the control of KOJO, KOJO may at any time, cancel the tour or change the date of the tour.
KOJO Collective reserves the right to cancel any tour 30 days prior to the departure date, though we do our best to inform you as early as possible. In the event of cancellation, and due to the fact that the many tours are in Asia where we are subject to tropical storms and typhoons, we have the following policy:
Cancellation by us 8-30 days prior to the tour start date: 100% refund of tour cost.
Cancellation by us 1-7 days prior to the tour start date: 50% of the tour cost with whatever is remaining also refunded to the client. (Cancellation at this stage will only be due to severe weather warnings/earthquakes/mudslides etc, that are out of our hands). We strongly advise to purchase transferable tickets as we will also offer those subject to cancellation the same ori similar tours at a later date.
The itinerary we provide can change on a certain day due to adverse weather, road closures, or to other unforeseen circumstances. Our leaders are fully trained at offering alternate plans and solutions. We seek your cooperation and promise to deliver the best vacation experience regardless. We appreciate your understanding and patience.
KOJO Collective is not responsible for any personal expenses incurred due to changes in itineraries or tour cancellations, such as prepaid hotel accommodations or airline tickets. We strongly recommend confirming your trip with KOJO Collective before making any additional travel arrangements and booking flexible airline tickets that compensate for cancellation.
Single Supplements
Our bike tours are priced based on double occupancy. A Single Supplement is an additional charge that secures a private room for solo travelers. If you are traveling alone and would prefer a roommate, please notify your Tour Leader. Although we cannot guarantee a match, we will make every effort to pair you with another solo traveler in order to waive the Single Supplement.
Travel Documents + Services
Travel Services
At the request of guests, KOJO Collective may recommend the services of other companies including hotels, transportation, restaurants, and other services outside the scope of our operations. While KOJO Collective takes care to recommend excellent and reliable external travel organizations, we do not guarantee services provided by these companies and are not liable for issues, or cancellations that may arise.
Family / Partner on Tour
To participate in a KOJO Collective scheduled departure, travelers must be age 18 or older. Please note that minors must be accompanied by an adult other than the participant who is riding daily on the trip. We are happy to work with you and your family to prepare separate experiences that will meet your family or travel partner’s specific needs. Additional costs may apply. Please contact us directly if you intend to have any family or travel partner joining the trip.
Travel Documents & Packing List
Each guest must obtain a passport and any applicable visas for his or her tour prior to departure. Detailed information on necessary visa and other regulatory documentation will be provided by KOJO Collective in advance of the tour. If a guest is unable to obtain travel documents or is prohibited from entering the destination, our standard cancellation policy will apply. Passports must be valid for at least six months after the tour ends. Non-U.S. citizens should contact the embassy or consulate of their destination countries to ensure they meet specific entry requirements.
Guests will receive a complete packing list and trip FAQ digital package through email after booking. Our staff will be available to provide additional support to guests between registration and tour dates.
Arrival and Departure Transfers
On all KOJO Collective itineraries, you will find recommended times and locations for arrivals and departures. KOJO Collective will arrange group transfers to and from the airport and the pick-up and drop-off locations stated on the itinerary. In the event your train, flight, or other travel falls outside the arrival or departure times or locations, you may be responsible for extra costs incurred in arranging a separate transfer.
Rider Profile, Release of Liability & Miscellaneous
Rider Profile
After submitting your deposit, you will receive a KOJO Collective Rider Onboarding Profile form to complete. The Rider Profile enables KOJO Collective to note dietary restrictions, secure any additional services you may need ,and recognize any special requests you may have.
Release of Liability
KOJO Collective is not liable for bodily injury or property damage as a result of (but not limited to): physical exertion for which a guest is not prepared; forces of nature; collisions with bicycles, pedestrians, or automobiles; road conditions including but not limited to lack of shoulder and roadway surfaces affected by weather conditions; travel by plane, train, auto, boat, or other conveyance, or by bicycle, ski, horseback, foot, or other form of active or adventure travel; consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations or the adequacy of medical attention once provided. Guests who fail to provide a signed Release of Liability prior to departure will not be permitted to join the trip and standard cancellation policy will apply.
In addition to providing an amazing cycling experience, our guides have the responsibility for guest safety and well-being. Our guides will monitor the group's fitness levels and health throughout the tour. In the event of poor weather or if any guests are struggling from poor fitness or adverse conditions. Our guide has full rights to modify, cancel or change the itinerary if guests’ safety is at risk. We thank you for your understanding, as we believe guests' safety is of the utmost importance.
Limitations of Liability
KOJO Collective is not liable for expenses including meals, transportation, or hotel costs that are not specified as included in the trip cost but may be required to get to or from a trip start or end. KOJO Collective reserves the right to make route and hotel modifications as necessary to improve the quality of a trip or to accommodate the comfort and wellbeing of guests.
Baggage
KOJO Collective is not responsible for loss of passports, tickets, or other documents, or loss of or damage to luggage, personal property, valuables, or other passenger belongings before, during or after the trip. Given the nature of our trips, you will not always have your luggage with you. Therefore, we urge you to pack carefully and consider leaving valuables at home. Guests are responsible to ensure their baggage is properly labeled and transferred to and put on any train, ship, aircraft, or other means of transport.
Miscellaneous
While KOJO Collective makes every effort to ensure the accuracy of our publications, we cannot be held responsible for typographical or printing errors, including prices.
KOJO Collective recognizes that some guests may have severe food allergies. We make every effort to ensure that our suppliers are notified and prepared, but cannot guarantee that all requests will be accommodated.
Additionally, guests grant KOJO Collective permission to take photographs or film recordings of trips for promotional and commercial use, without remuneration now or in the future. The guest agrees to assign all right, title, and interest they may have in or to any media in which their name or likeness might be used to KOJO Collective. Guests agree that KOJO Collective may use any testimonials regarding services rendered for promotional and/or commercial purposes without any remuneration now or in the future. KOJO Collective photography within this website is copyrighted by KOJO Collective and may not be reproduced without permission.
Harassment Policy
KOJO Collective considers guests family. We operate with respect and are committed to providing tours free from any form of harassment and disrespectful or other inappropriate conduct based on race, religion, color, gender (including gender identity and gender expression), national origin, ancestry, physical or mental disability, medical condition, marital status, registered domestic partner status, age, sexual orientation, military and veteran status, or any other basis protected by federal, state or local law or ordinance or regulation.
Guests should report any harassment, disrespectful or inappropriate conduct immediately. Harassment, disrespectful or inappropriate conduct may be grounds for immediate dismissal from a tour. Should a Guest be asked to leave a tour, there will be no refund of any portion of the tour price, used or unused, nor will KOJO Collective be responsible for any additional expenses incurred by the Guest as a result of their dismissal.
